Experience Letter Format: Samples to Copy into Word
An experience letter (experience certificate) is issued by an employer to confirm that a person worked there, in which role, and for how long. New employers ask for it during joining and background checks. Below are three samples to copy, what each line should contain, and how it differs from a relieving letter.

What an experience letter must contain
Keep it on company letterhead, signed by HR or the manager, with these details.
| Part | What to write |
|---|---|
| Date and reference number | The date of issue and the company's reference number, if it uses one |
| Employee details | Full name as in official records, and employee ID |
| Role and period | Designation, department, date of joining and last working day |
| Work done | One or two lines on the main duties |
| Conduct line | A short line on conduct and performance |
| Signature | Name, designation and signature of the person issuing it, with the company seal if used |
Experience letter or relieving letter?
An experience letter confirms what you did and for how long. A relieving letter confirms that you resigned, served the notice period and were released from your duties. Many companies issue both on the last day; some combine them in one letter. A new employer may ask for either or both.
If you are the employee
Check the spelling of your name, your designation and both dates before you leave. A wrong date on an experience letter is a common reason for a background check to be flagged later. Keep a scanned copy with your offer letter and salary slips.

Common questions
What is an experience letter?
A letter from an employer confirming that a person worked there, the role held and the period of work. It is also called an experience certificate.
Who signs an experience letter?
Usually HR or the reporting manager, on company letterhead, with their name and designation. Smaller firms may have the owner or a director sign it.
Is an experience letter the same as a relieving letter?
No. The experience letter confirms the role and period. The relieving letter confirms that you were released after resigning. Some companies combine both.
Can I get an experience letter for an internship?
Interns usually get an internship certificate or completion letter instead. It follows the same structure, with the internship title and dates.
