Joining Letter Format: Samples to Copy into Word

"Joining letter" is used for two documents. One is the joining report an employee writes and submits on the first day, confirming that they have reported for duty. The other is a letter from the company confirming the joining date and terms. Below are samples of both, plus a letter asking for a later joining date.

Which one do you need?

If HR has asked you to "submit your joining letter" on day one, they usually mean a joining report from you. If you are waiting for confirmation of your start date and terms before resigning elsewhere, you need the company’s joining or appointment letter.

What a joining report contains

Keep it short and formal.

PartWhat to write
Addressed toHR manager or the reporting manager
ReferenceThe offer or appointment letter number and date
StatementThat you have joined as [designation] on [date]

Before you resign from your current job

Do not resign on the strength of a phone call or an email alone. Wait for a written offer or appointment letter from the company’s official email domain, and check it carefully.

Common questions

What is a joining letter?

Either the joining report an employee submits on the first day, or a letter from the company confirming the joining date and terms. Ask HR which one they need.

How do I write a joining report?

Address it to HR, refer to your offer letter number and date, state the date you joined and your designation, list the documents you are submitting, and sign it.

Is a joining letter the same as an appointment letter?

Not always. An appointment letter sets out the terms of employment; a company joining letter confirms the start date. Some companies combine them.

Can I ask to change my joining date?

Yes. Write to HR politely with the reason, such as your notice period, and the date you can join. Get the new date confirmed in writing.
