Government Job Biodata Format — With the Fields Departments Ask For
A government biodata carries fields no private employer asks for, and leaving them out is the most common reason a file is returned at the verification desk. This is the fuller version, with the columns departments expect.
When this format is the right one
Central and state government posts, public sector undertakings, municipal and panchayat recruitment, government school and college appointments, and most contract or outsourced roles attached to a government office. These offices work from a personnel file, and your biodata becomes the first sheet in it.

Beyond the usual personal particulars, government biodata commonly asks for category (General, OBC, SC, ST, EWS), domicile or state of residence, employment exchange registration number where applicable, whether you are a government servant already, and sometimes religion. Include the ones the advertisement mentions. If the notification carries its own format sheet, follow that sheet exactly rather than your own layout.
Government verification works from documents, so the education table usually needs more than a resume's. Qualification, board or university, year of passing, percentage, and in many formats the roll number or registration number. Keep the figures identical to your marksheets, including decimals.
The declaration on a government biodata is treated as a statement of fact, not a formality. It is signed, dated and given a place, and the file is often submitted with self-attested copies of documents — each photocopy signed by you with the date. Some posts still require attestation by a gazetted officer; the notification will say.
Government applications are repetitive and you will submit this many times. Keep one master file with every field filled, then remove whatever a particular notification does not ask for. Rebuilding it each time is how errors creep in between applications.
What to get right
- If the notification includes its own format sheet, use that sheet and nothing else. Departments reject files that do not match their prescribed proforma, however well designed the alternative is.
- Write every figure exactly as it appears on the marksheet, decimals included. Government verification compares the two line by line.
- Use the longer declaration wording that accepts cancellation if information is found false. Government biodata is treated as a formal statement, and the short private-sector version looks incomplete on a departmental file.
- Self-attest every enclosed photocopy — your signature and the date on each page. An unsigned photocopy is the most common reason a file is sent back from the verification desk.
- Keep your name spelled identically across biodata, Aadhaar, marksheets and bank records. A mismatch as small as an expanded initial causes real delays at appointment.
Common questions
What extra fields does a government job biodata need?
Typically category, domicile or state, employment exchange registration number where applicable, whether you are already a government servant, and often roll or registration numbers in the education table. Include whichever the specific notification asks for, and follow its prescribed format sheet if one is provided.
What is the correct declaration wording for a government biodata?
Use the longer form: that the statements are true, complete and correct to the best of your knowledge, and that you understand your candidature is liable to be cancelled if any information is found false. Follow it with place, date and signature. This wording is what departmental formats expect.
Do I need gazetted officer attestation?
It depends on the post. Many recruitments now accept self-attestation — your own signature and date on each photocopy — while some still require attestation by a gazetted officer. The notification states which, and it is worth reading that line carefully rather than assuming.
Can I use the same biodata for every government application?
Keep one complete master copy and adapt it each time rather than sending the same file everywhere. Different notifications ask for different fields and some prescribe their own proforma, so the master saves you retyping while the adaptation keeps each submission correct.
