Biodata Format for Job — With a Complete Sample

A biodata is not a shorter resume. It is a different document with a fixed order of labelled fields, and Indian employers who ask for one expect to see those exact fields. This is that structure, filled in.

When this format is the right one

Government departments, public sector undertakings, banks, schools and colleges, defence-adjacent recruiters and a large number of clerical and administrative employers still ask for a biodata by name. If the advertisement or the office says "bring your bio-data", they mean this document — personal particulars first, education in a table, then work, then a signed declaration. Handing over a modern two-column resume instead is the most common reason a form gets sent back.

Section by section

1. Personal particulars

This is what makes a biodata a biodata, and it goes first. Full name, father's or guardian's name, date of birth, gender, marital status, nationality, religion or category where the form asks, languages known, and both a permanent and a present address. A resume would never carry most of these fields; a biodata is incomplete without them.

2. Educational qualifications

Always a table, always most recent first. Give the qualification, the board or university, the year of passing, and the percentage or CGPA. Employers reading biodata scan this table rather than prose, so keep it as a grid and do not write it out in sentences.

3. Work experience

Organisation, designation, period from and to, and your main responsibilities in two or three lines. Freshers replace this section with internships, training or academic projects rather than leaving it blank or writing "nil".

4. Skills, certificates and additional information

Computer proficiency, technical skills, certificates with year, and any achievements. Keep it factual — a biodata is read as a record, not as a pitch.

5. Declaration, place, date and signature

A one-line statement that the information is true, followed by place, date and your signature. Many offices treat a biodata without a signed declaration as incomplete and will hand it back.

What to get right

Common questions

Is a biodata the same as a resume?

No. A resume argues what you can do, in whatever order makes your case strongest. A biodata records who you are, in a fixed order that always starts with personal particulars such as date of birth, father's name and nationality — fields a resume deliberately leaves out. They are different documents for different readers.

Should a biodata include a photograph?

Usually yes, and this is a real difference from a resume. Biodata formats used by government offices, schools and many clerical employers have a photo box in the top right, and the form often asks for a recent passport-size photograph. Attach one where the format provides the space.

How long should a job biodata be?

One page is the norm and two is the maximum. Since the content is mostly tabular — personal fields, an education grid, a short work section — a biodata that runs longer usually means prose has crept in where a table belonged.

Can I submit a biodata in Word or does it have to be printed?

Both are used. Offices that want to type into it or file it ask for Word, while email applications usually prefer PDF so the layout cannot shift. Keep both versions of the same file and send whichever the employer asks for.
